A clinic that orders every six months should not have to start from scratch each time. We keep a simple production record for every client: sizes, colours, logo file, placement, fabric lot and packing preferences.
When a reorder comes in, we confirm two things before production. Has the size mix changed? Has the logo or colour changed? Everything else can move without another round of sampling.

New joiners are the usual complication. We handle them by adding individual pieces to the next run rather than reopening the whole order. The client sends a short list of names, sizes and colours, and we match them to the existing pattern.
Fabric is the other variable. If the original lot is no longer available, we compare the new roll against the client's colour card and get approval before cutting. That one step avoids the most common reorder complaint.
Good record keeping is unglamorous, but it is the reason a third order can ship in half the time of the first.
